Rental terms

Last updated: 4 September 2026

These terms apply to every rental of speakers and accessories from Copenhagen Speakers Rent, including any add-ons agreed on WhatsApp. By booking you accept them. Please read them before you confirm.

01Who we are

Copenhagen Speakers Rent is operated by N4H4, CVR 46145542, Borgmestervangen 13, 2. 12, 2200 Copenhagen N, Denmark. Email: cph@speakersrent.com. Bookings and day-to-day contact go through our WhatsApp; you can also write to us by email.

02Booking and confirmation

Send us your date, delivery address and roughly how many guests. You must give us accurate contact, venue and access information and tell us before confirmation if the equipment will be used outdoors. We reply with a price, a delivery time and a pickup time.

Before payment, we send you a written offer on WhatsApp stating the date, address, delivery and pickup times, the equipment, the total price and the version of these terms that applies. A booking is binding for both parties once you accept the offer by paying and we confirm receipt in writing.

We hold the date for you for 24 hours after sending the confirmation, or until 2 hours before delivery for bookings made on the day. If payment has not arrived by then, the date is released.

You must be at least 18 years old to book. If another adult receives or hands back the equipment for you, you remain responsible for the booking and for that person's actions. If you book on behalf of a company or institution, the consumer-specific parts of sections 11 and 12 do not apply.

03Prices and payment

  • All prices are in Danish kroner (DKK) and include VAT.
  • Rental is priced per night. A second consecutive night is half price.
  • Delivery, setup and pickup are included in the Copenhagen areas listed on our website. Outside those areas we quote a small delivery fee before you book.
  • Add-ons such as a DJ or party lights are priced on request and stated in the confirmation.
  • The full amount is paid upfront by bank transfer or via a payment link we send you, when the booking is confirmed. We do not charge a deposit.
  • Any additional charges under these terms (including waiting or access time, wasted trips, extra nights, cleaning, troubleshooting and documented damage or loss) are invoiced after the rental and are payable within 8 days by bank transfer or payment link. If an invoice is not paid on time, we may charge the statutory reminder fee and interest under the Danish Interest Act (renteloven).
  • Companies and institutions can ask for an invoice, including EAN invoicing, when booking. The payment terms are then stated in the confirmation.

04Cancellation and changes

  • You can cancel free of charge in writing on WhatsApp until 24 hours before the agreed delivery time. We refund the full amount within 5 business days.
  • If you cancel later than that, the full rental price is charged. If we manage to rent the equipment out to someone else for the same night, we refund what you paid less 250 DKK. The same rules apply if we cannot deliver because nobody is present and no new delivery time can be agreed the same day (see section 06); in that case the wasted-trip fee is not charged on top.
  • You can move your booking to another date, subject to availability. A change requested less than 24 hours before delivery is treated as a cancellation.
  • A booking made less than 24 hours before delivery is binding immediately.
  • If we have to cancel because of circumstances beyond our control, for example extreme weather, road closures or orders from public authorities, we tell you as soon as possible and refund the full amount. That refund is our only obligation in that case.
  • If we have to cancel for reasons on our side, such as equipment failure or illness, we refund the full amount. If you then rent equivalent equipment elsewhere for the same date at a higher price, we also cover the documented difference, up to the rental price you paid us.
  • If we are more than 60 minutes late for the agreed delivery time and that is not caused by you, you can choose between cancelling with a full refund or going ahead with 20% off the rental price.

05Rental period

The rental period runs from delivery until we have picked up the equipment. Extensions are only possible by agreement and are charged per extra night. If pickup is delayed because of you, the agreed charges and your responsibility for the equipment continue until it is actually collected.

You, or an adult you have appointed, must be present at both delivery and pickup.

06Delivery, setup and pickup

We carry the equipment in, place it, connect it and sound-check it with you. Once set up, the equipment stays where we placed it unless we have agreed otherwise. We may replace a reserved item with equipment of equivalent or better function and quality if necessary.

When booking, please tell us anything that affects access: floor, lift, stairs, parking and the distance from the street to the room. Level access or a lift is ideal. If the equipment has to be carried up several floors without a lift, we tell you before confirming whether that changes the price. If access turns out to be materially different from what you told us, we charge the extra time at 125 DKK per started 15 minutes.

  • Helpers. Only help carry or move the equipment if we ask or agree, and follow our instructions. You are responsible for people you provide and for ensuring that they can help safely. This does not limit liability that cannot be excluded under mandatory law.
  • Waiting time. If we cannot deliver or pick up at the agreed time because of you, the first 15 minutes are free. After that we charge 125 DKK per started 15 minutes.
  • Wasted trip. If we cannot deliver or pick up because nobody is present, the address is wrong or we cannot get access, we charge 250 DKK for the trip. At delivery we agree a new time the same day if we can; if that is not possible, the booking counts as cancelled under section 04 and the 250 DKK trip fee is not charged on top. At pickup, a wasted trip also means one extra night is charged at the second-night rate (half price).
  • Safety. We may pause or refuse delivery, setup or pickup if the access, electrical installation, location or conduct of people present creates an immediate risk to people or equipment. We give you a reasonable opportunity to remove the risk where possible. If the risk is caused by circumstances on your side and cannot be removed in time, the booking is treated as a late cancellation under section 04.

07Use of the equipment

  • Use the equipment indoors or in a fully sheltered spot. It must never be exposed to rain, moisture, sand or direct heat. If the weather turns, move it inside.
  • Keep the equipment at the delivery address. It may not be moved to another location, lent out or sub-rented.
  • Connect only through the cables we supply, to a standard earthed power outlet.
  • Follow our setup and operating instructions, keep the equipment stable and ventilated, and do not remove stands, safety fittings, labels or serial numbers.
  • Do not run the speakers at sustained distortion or with the input meters constantly in the red. Distortion damages the drivers.
  • Do not open, modify or repair the equipment yourself.
  • Keep drinks, food, smoke, open flames and heat sources away from the equipment.
  • Do not leave the equipment unattended in an unlocked room or in a place accessible to the public.
  • You are responsible for everyone who operates the equipment during the rental period.
  • If these rules are materially breached or the equipment is at immediate risk, we may stop its use and require that it be made available for collection. No refund is due where this is caused by you or your guests.

08Noise and neighbours

You are responsible for permission to use the venue and for keeping the volume within local noise rules, the house rules of the venue and any instructions from the police or the municipality. Any fines, complaints or other consequences of your event or the noise level are yours. If your event is stopped or restricted for those reasons, that does not entitle you to a refund.

09Your responsibility for damage and loss

From the moment we hand over the equipment until we have collected and tested it, you bear the risk of accidental damage, loss and theft. This includes acts by your guests or anyone else at the address and misuse such as rain, spills or sustained distortion. You are not responsible for ordinary wear and tear, an inherent defect, or damage caused by us.

  • You are responsible for keeping order at the address and for the equipment overnight, including between the nights of a multi-night rental. Keep it indoors and secured when it is not in use.
  • You must compensate our documented, reasonable loss caused by the incident to the extent recoverable under Danish law. Depending on the incident, this may include inspection, cleaning, parts, professional repair, transport, an equivalent replacement adjusted for the item's age and condition, and confirmed rental income lost during a reasonable repair or replacement period. We take reasonable steps to limit the loss. This also applies to cables and extension cords. Any replacement values stated in the confirmation are maximum amounts, not automatic charges; you never pay more than our actual documented loss.
  • An item remains our property even if you pay for its repair or replacement, unless we agree otherwise in writing.
  • We photograph the equipment at delivery and inspect it at pickup. Visible damage is noted then. Damage or faults that reasonably require cleaning or testing to discover are reported to you as soon as possible, normally within 5 business days, with documentation.
  • Report any damage, fault or loss to us on WhatsApp as soon as you notice it. Theft, vandalism or another suspected crime must also be reported promptly to the police, and you must give us the case number and reasonably assist with our insurance claim.
  • We recommend that you check whether your home contents insurance covers rented equipment.
  • You must also compensate us for documented third-party claims to the extent they are caused by your breach of these terms or by a negligent or intentional act by you, your guests or another person for whom you are responsible.
  • The equipment remains our property and may not be sold, pledged, seized on your behalf or otherwise made available to a third party. You must tell any creditor or authority claiming the equipment that we own it and notify us immediately. If you materially breach the agreement or fail to return the equipment, you must make it available for immediate collection and pay our reasonable, documented recovery costs to the extent permitted by law.

10Our liability and faults

We test the equipment at setup. If a fault occurs during the rental period, message us on WhatsApp immediately and follow our reasonable troubleshooting instructions so that we have a chance to fix or replace the equipment. If we cannot, we refund the rental price in proportion to what you could not use. A delay in reporting only reduces your remedy to the extent that it prevented us from helping or made the problem worse.

We are not responsible for faults in the venue's power supply, internet or electrical installation, or in phones, computers, music services or other equipment that we did not supply. If you ask us to attend and our equipment is working, but the issue was caused by one of those matters or by use contrary to our instructions, we may charge the 250 DKK trip fee plus 125 DKK per started 15 minutes after the first 15 minutes.

Our total liability is limited to the rental price you paid, and we are not liable for indirect losses such as a disrupted event or lost income. These limitations do not apply where liability cannot be limited under mandatory law, including liability for personal injury caused by our negligence, product liability, and liability for gross negligence or intent.

11Right of withdrawal

Because the rental is a leisure-related service delivered on a specific date, the 14-day right of withdrawal under the Danish Consumer Contracts Act (forbrugeraftaleloven § 18, stk. 2, nr. 12) does not apply. The cancellation rules in section 04 apply instead.

This section applies to consumers and does not limit any mandatory rights. Businesses have no statutory right of withdrawal.

12Complaints and governing law

If something is not as it should be, contact us on WhatsApp first and we will try to sort it out. If we cannot agree, you can as a consumer complain to Mæglingsteamet for Forbrugerklager at Nævnenes Hus, naevneneshus.dk. Complaints must concern a price of at least 1,220 DKK (2026).

These terms are governed by Danish law, without prejudice to mandatory consumer protection rules. Any dispute is settled by the Danish courts.

13Changes to these terms

We may update these terms from time to time. The version accepted at the time of your booking applies to that booking. We provide that version with the booking confirmation in a form you can save.

These terms exist in Danish and English. If the versions differ, the Danish version prevails.
